The Clubspot Tee Sheet allows staff and members to easily book, pay for, and track Tee Times. This article walks through setting up a schedule, managing your Tee Sheet and communicating with golfers, and the flow for check-ins and billing.
When setting up your Tee Sheet you will want to start by creating your schedules. Under Golf and Schedules you can create your schedules that the Tee Sheet will use to populate available times.
Clicking into a given schedule allows you to view the greens fee, guest fee, or unaccompanied guest fee configured for that schedule. You can also view the billing timing and determine whether that is billed upon checkin, or billed when making the tee time. Pairing rules, intervals, and the type of members or non-members allowed for each pairing are included there. Reach out to [email protected] or your onboarding manager to adjust any of the non-editable details in the scheduling section.
When tee times needs to be blocked off for tournaments, or any other reason outside of your standard schedule, you can use a time-block to do so. From the Tee Sheet click Time Block in the top right. That will give you the option to Select all or a subset of times for any given day and then apply a brief label that golfers can see to understand why that time was blocked.
Once your schedules are setup you are ready to start taking tee times. Tee times can either be entered by Club Staff or they can be directly input by members. The member or guest view for booking a tee time can be found at your club website /golf.
Club Staff can also directly enter members and guests into the Tee Sheet. To do so, Click into an available time from the Tee Sheet, select the number of players and enter that player detail. Members can see all of their booked tee times from within their member portal.
Once golfers are entered into the Tee Sheet you have the ability to check them in, bill them, adjust their details, and pull up the POS to add any other items to their cart.
From the Tee Sheet you can add and edit public notes that appear when golfers make a tee time. To do so, enable the Tee Sheet note in the top right and then edit the message to the content you wish to communicate. Also in the top right you will see the message button which will allow you to communicate with all golfers on the Tee Sheet for that day.
Selecting the party name will allow you to change the date or time, as well as communicate just with that group instead of the whole Tee Sheet. Notes can added to the Tee Sheet, and the audit trail for when times were added can be viewed by clicking on “Activity”. The date selector in the top right allows you to view different dates on the Tee Sheet.
Once golfers are entered onto the Tee Sheet you can check them in by select the check-in toggle. A draft order is created for all golfers if you have any pricing associated to greens or guest fees. Additionally if you have fees for transportation you can have that setup with their respective prices and a dropdown to assign them.
