Club admins can now manage lodging seamlessly, allowing members and guests to book stays while tracking check-ins, check-outs, invoices, and itineraries—all in one place. This new feature simplifies overnight accommodations, ensuring a smooth and organized experience for both clubs and their guests.

Setup: Creating a Room Type

1. Create a New Reservable Product

Navigate to the “Products” tab of your Clubspot account and click on “+ New Product.” Enter the name and price of the Room Type and set the type of the product to “Reservable item”. You can leave the booking schedule set to “always available.”

2. Create Options

If your club asset has multiple instances of one room type (Suite #1, Suite #2, etc), then you’ll want to utilize the Product Options settings. Navigate to the “Options” Tab at the top of the Reservable Product page and add one option for each of the rooms available for booking.

Using the Lodging Section

Create a Booking

From the Lodging section in your dashboard, you’ll find the visual representation of your bookings on the Calendar tab. A list version can be found (and exported) on the Reservations tab of the Lodging section. Find the intersection of the right room and date, and click on the + book tile. You’ll be prompted to select a guest or a member, as well as the duration of their stay. You’ll see the booking calendar allows you to book up until the room’s next existing booking.

Check In & Out

Click on the reservation block to check the guest in and out. Green represents checked-in, dark grey represents checked-out, and light grey represents not-yet-checked-in.

Manage Reservation

Clicking on any booking will allow you to view registration details. This is where you can see the details of the booking, as well as the payment details. On the check-in tab, you can manage the itinerary for the guest during their stay.

Billing

When a booking is created, a Room Tab is generated. You can access this Room Tab by clicking Manage Reservation > Payment > Room Tab. By default, the cost of the room for the duration of the stay is added to this tab as a line item. During the duration of the stay, an admin can add additional line items to this room tab. Upon check-out, this tab can be finalized and sent to a non-member or put on a member’s house account.
