How updates work

Standard point of sale updates are automatically deployed, so your club can take advantage of usability, performance, and feature improvements right away.

For larger updates we often opt in a subset of clubs first, to try out the new version as pilot partners. After the pilot period we upgrade all clubs to the new version. To get early access to future versions or if you have any questions, please reach out to [email protected].

Checking your Point of Sale Version

To check what POS version is currently installed start by going to the point of sales order screen. from the point of sales order screen, click settings in the upper right and scroll down to the App Version.

Versions

Version 5.1 - April 2024 (latest)

✅ Redesigned payment method interface

• New icons to quickly locate payment method options and add cards to an open order
• Clear callout for payment methods on file, including an indication for payment methods that are pulled in from the membership vs. payment methods that have been added directly to an order.

💳  Payment method persistence

• When opening a new order from a previous order that had a card on file, Clubspot now automatically clones the original payment method over to the new order. This standardizes the behavior between members and non-member customers, and makes it easy to charge the same card multiple times from the POS.
• Clubspot now ensures that payment methods that are added to a tab in the POS do not get saved on the membership for billing purposes.
• Ability to cancel a card authorization from the POS, so the operator can take a different payment method.

⚡ Card reader syncing

• Expired payment authorizations (eg. after several days without a capture) no longer cancel an open POS order. Instead, the order remains in a draft state and payment can be re-collected.
• Clubspot now tracks the status of each card reader in real time, including which reader is connected to which iPad.
• POS operators can now see the timestamp for the last status update, and tap to refresh the status on demand.
• Clubspot indicates which order a reader is processing (and for which user), if the reader is busy with a different request.
• Operators and customers now have the ability to cancel a transaction from the card reader. The operator can then prompt for a new payment method.

• Advanced Splitting
  • Ability to split any line(s) any number of ways (eg. split 3 ways, split 4 ways, split 5 ways, etc.)
  • Replaced drag and drop interface with a lighting-fast tapping UI
  • Ability to multi-select to add any number of lines to a different tab with a single click
  • New split picker uses more of the available screen real-estate, on all devices
  • The POS now defaults to “split by item” (previously it defaulted to split by amount).
  • Ability to enter custom guest names during the split flow (previously guests always appeared as Guest Non-Member in the split overlay).
• Ability to configure custom tip options, by POS Location. Defaults are 10, 12, 15, 18, 20, 22, 25. No tip and “Other” are always available, if tipping is enabled.

• Significant performance improvements, especially when handling large numbers of orders, including faster search, more responsive tabbing, and faster click handlers.
• Fresh new design, with quick actions and icons that make it faster to identify key workflows
• Faster, more responsive entry for staff codes, even on lower end devices
• Instant, real-time syncing for reservation updates
• Improved usability on mobile phones under 400 px width
• Smoother loading feedback when performing calculations on the payment screen. Eg:
  • Applying prepaid minimum
  • Re-calculating tax based on tax exemptions
  • Re-calculating auto gratuity, based on customer and other custom rules
• Improved Messaging
  • List of available vs. unavailable actions at any given time (based on order status) plus clear explanation for why any action might be unavailable.
  • Call out when a manager code is required

🔧 New Settings

• Command to kick cash drawer automatically sent when paying by check/cash

• Inline tipping capabilities

• Ability to hide member balances on the POS

• Ability to select specific members for dining reservations made from the Point of Sale. This means that the reservations will also show up in the Member Portal for the relevant members.

• Support for metered pricing. Common use cases would be gas, water, or electricity.

• New support for a manual tax exempt toggle

  • Also factors in tax exemptions due to to go status (region-specific), and tax exempt customers.

• “Strict Staff Mode” which requires a staff member keyed in at all times

  • When in Strict Staff Mode, the POS now automatically jumps back to staff code entry after firing a ticket

  • Strict Staff Mode now prevents one staff member from managing another staff member’s orders, with improved messaging to explain who the order belongs to:

• New Location-level setting: Require Clock in

  • With this setting, the POS requires a staff member to clock in prior to opening a new tab.

  • Clubspot will automatically check for a recent clock-in, and prompt the staff member to clock in if needed. Clubspot then clocks them in automatically while simultaneously creating the draft order.
